- Diagnostic Inspection Data: Digital ultrasonic paint depth gauge readings (microns), recorded pre-existing defects, swirl severity ratings, clear coat etching logs, and studio build sheets.
- Media Documentation: High-definition before-and-after digital photographs, cinematic video reels, and macro paint transformation imagery captured during the detailing workflow.
- Billing & Transaction Details: Invoices, payment confirmation receipts (EFT receipts, card terminal records), and warranty registration certificates.
4. Lawful Purpose & Grounds for Processing
Under Chapter 3 of POPIA, personal information is processed on the following lawful grounds:
- Performance of a Contract: Generating tailored quotations, reserving studio bay slots, performing paint correction treatments, and applying certified ceramic coatings.
- Statutory Tax Compliance: Maintaining accounting, tax, and invoicing records in full alignment with South African Revenue Service (SARS) requirements.
- Ceramic Warranty Administration: Maintaining warranty records for 1-Year and 2-Year 9H ceramic coating installations, tracking annual maintenance checkups, and validating claims.
- Legitimate Interests: Defending legal claims, establishing pre-existing vehicle conditions, verifying workmanship, and safeguarding studio facilities.
5. Photography, Cinematic Video Reels & Social Media Consent
Studio Portfolio & Media Transparency
As Durban's premier detailing studio, documenting paint transformations through photography and video reels is fundamental to our craftsmanship verification. We respect your confidentiality: upon drop-off, clients may request license plate obfuscation or digital blurring for any public social showcases.
By commissioning Dfine Auto Detailing, clients acknowledge that the studio captures before, during, and after media of vehicles for quality control, digital archives, and promotional publications across our verified social channels (including TikTok, Instagram, Facebook, and our website gallery). If you require complete media embargo or license plate concealment, please notify the studio in writing prior to vehicle check-in.
6. Data Storage, Security Safeguards & Retention
Dfine Auto enforces appropriate, reasonable technical and organizational measures to prevent loss, damage, or unauthorized destruction of personal information:
- Electronic records and customer ledgers are stored behind multi-factor authenticated, encrypted cloud infrastructure.
- Direct WhatsApp transmissions are secured with end-to-end encryption protocols.
- Physical job cards, keys, and inspection sheets are secured within our monitored Chatsworth facility.
- Personal records are retained only as long as necessary to service your vehicle warranty (up to 2 years for ceramic coatings) and satisfy SARS statutory record-keeping periods (5 years).
7. Non-Disclosure & Third-Party Sharing
We do not sell, rent, monetize, or trade your personal information. Information is only shared with authorized sub-operators (such as cloud database providers, banking gateway terminals, or authorized ceramic coating product manufacturers for certified warranty registries) under strict confidentiality covenants.
